Alvis Built-in Application for Spas and Wellness Centers in the Philippines

About this app

Alvis for Wellness Clinic Reservation & Management runs a spa or wellness center's reservations, therapists, rooms, packages, gift certificates and payments in one place, so every slot is booked once and every prepaid session is accounted for.

Built for spas, massage and wellness centers in the Philippines: hilot, Swedish, ventosa, facials and body treatments; payment by cash, GCash, Maya, card or gift certificate; therapist commissions.

Dashboard at a glance

  • Bookings this month and new online reservations
  • Sales this month and package sessions owed to clients
  • Sales per month, services by category and by therapist, bookings by status

1. Online reservations and bookings

Clients reserve from a public form, no login needed: service, date, time, number of guests and therapist preference. The front desk assigns a therapist and room and presses Confirm: the client is found (or added) and the booking made.

  • No double booking: a therapist or a room can't be in two bookings in the same half-hour slot
  • Calendar and day views, with Check in, Complete, No-show, Cancel and Rebook buttons
  • Health notes and allergies show on every booking (pregnancy, hypertension, oils to avoid)

2. Clients

Each client keeps their contact details, preferred pressure and therapist, health notes, allergies and a signed health waiver, plus visit count, total spent and last visit. Print the intake and health waiver form for signing.

3. Packages and gift certificates

  • Packages: sell prepaid bundles (e.g. Hilot 5 + 1 free) with their savings shown; each completed booking uses one session
  • Checked on every booking: no booking on a used-up or expired package, one for a different service, or someone else's
  • Package card printout with the sessions used
  • Gift certificates: numbered, with a value and validity; payments spend them down and stop at the balance or the expiry date

4. Payments and commissions

Take payment for a booking or a package, never more than what's due. Promo discounts lower the amount due, and voided receipts keep their reason. Therapists earn their commission on completed services only.

5. Reports

Bookings by day, therapist commissions, services by category, collections by method, the payments list, packages with sessions left, outstanding gift certificates, no-shows and cancellations, top clients and unpaid bookings.

Role-based access management

  • Owner / Manager: everything, including prices, packages, commissions and voids
  • Front Desk: reservations, bookings, clients, packages sold, gift certificates and payments
  • Therapist: their own bookings, with the client's health notes and preferences
  • Online Reservation: the public form; it can only submit a request
11 roles

What it doesn't do

It doesn't send SMS reminders by itself (connect an SMS integration), track retail product stock, or handle payroll (pair it with Attendance, Time & Payroll). Bookings are by half-hour slot; a 90-minute service doesn't block the slots after it.

Getting started

  1. Put your center's name and address on the printouts (Settings → Printouts).
  2. Add your therapists, rooms and packages; review the services and prices.
  3. Share the reservation form link.
  4. Invite your front desk and therapists with their roles.
