Alvis Built-in Application for Dental Clinics in the Philippines
About this app
Alvis for Dental Clinic runs a dental clinic's schedule, patient records, treatments and billing in one place: online booking, appointments that never double-book, the tooth chart, treatment plans, HMO claims, payments and prescriptions.
Built for Philippine dental clinics with one or several dentists. Prices are in pesos, it applies the 20% senior citizen and PWD discount, works with HMO letters of authorization (LOA), and prints prescriptions with generic names.
Dashboard at a glance
- Appointments this month and new online booking requests
- Production this month and patient balances
- Production per month and by dentist, procedures by category, appointments by status
1. Online booking and appointments
Patients request a slot from a public booking form, no login needed. The front desk assigns a dentist and time and presses Schedule: the patient is found (or added) and the appointment is made.
- No double booking: a dentist or a chair can't be in two appointments in the same half-hour slot
- Day and calendar views, with Confirm, Arrived, Complete, No-show and Cancel buttons
- Alerts on every appointment: allergies and medical history, copied from the patient record
2. Patient records and the tooth chart
Each patient has a record with contact details, HMO and card number, medical conditions, allergies, maintenance medicines and consent. The tooth chart uses FDI numbering and keeps one line per tooth: caries, filled, crown, root canal treated, missing, for extraction, and more.
3. Treatments, plans and estimates
Record procedures by tooth and surface from the clinic's price list (21 common procedures included, editable).
- Planned procedures are the treatment plan; print it as an estimate for the patient to sign
- Done procedures are charged, with the dentist's share for the fee report
- 20% senior citizen / PWD discount applied automatically (with the ID number on file); a bigger discount wins
4. HMO claims, payments and statements
- HMO claims: one per treatment, with the LOA or approval code; approved amounts come off the patient's balance, and you track what each HMO still owes
- Payments: cash, GCash, Maya, card or bank, never more than the balance; voids keep their reason
- Statement of account and official receipt printouts
5. Prescriptions
Write prescriptions with generic name, brand, strength, quantity and instructions. The patient's allergies show on the form.
6. Reports
Appointments by day, no-shows and cancellations, production by dentist (with dentist's fees), procedures by category, treatment plans not yet done, patient balances, HMO claims outstanding and by provider, collections, the recall list, and senior/PWD discounts.
Role-based access management
- Owner / Admin: everything, including prices and voids
- Dentist: their own appointments, treatments and prescriptions; every patient's chart and history
- Front Desk: bookings, appointments, patients, payments and HMO claims
- Dental Assistant: charting and treatment records at the chair
- Online Booking: the public form; it can only submit a request
What it doesn't do
It doesn't send SMS reminders by itself (connect an SMS integration), keep supplies inventory, or file claims to HMO portals. The tooth chart is a list per tooth, not a drawn odontogram.
Getting started
- Put your clinic name and address on the printouts (Settings → Printouts).
- Add your dentists (PRC, PTR and S2 numbers), chairs and the HMOs you're accredited with.
- Review the price list.
- Share the booking form link, invite your team with their roles, and start scheduling.
