Alvis Built-in Application for Contractors and Construction Projects in the Philippines

About this app

Construction Project Management keeps every project's money and progress in one place — the bill of quantities, materials, labor and equipment, change orders and progress billing — so you always know how far along each project is, what it has cost, and what the client still owes.

Built for Philippine general contractors and builders. It follows the way local projects run: a BOQ per project, material requests approved before purchase, daily site reports, change orders signed by the owner, and progress billing on % complete with 10% retention, down-payment recoupment, 12% VAT and the client's 2% withholding.

Dashboard at a glance

  • Ongoing projects and their contract value
  • Costs this month and unpaid billings
  • Budget and cost to date by project, costs per month by type, open punch items

1. Projects and the bill of quantities

Each project carries its BOQ: quantity, budget cost and contract price per item. As the site reports % done per item, the project's % complete and value of work done update on their own.

  • Budget vs actual per project and per BOQ item, with "Over budget" / "Near budget" flags
  • Revised contract from approved change orders; retention held and collected to date

2. On site: schedule, daily reports and punch list

  • Schedule & tasks by phase, on a calendar or a board
  • Daily site reports: weather, manpower, work accomplished, issues, safety and photos — one per project per day, reviewed by the PM
  • Punch list: defects found at inspection, fixed by the trade and verified; a project can't be marked complete with items open

3. Materials, labor and equipment

Material requests are approved by the PM before Purchasing orders them; deliveries to site are received against the PO and never exceed it. Labor logs (days per worker) and equipment logs (days per unit) price themselves from the daily rates.

4. One project cost ledger

Every delivery, labor log and equipment log posts its cost to the project — and its BOQ item — automatically; subcontractor bills and overhead are entered directly. A voided log or delivery posts the reversal, so the history stays.

5. Change orders and progress billing

  • Change orders: additive or deductive, with time extensions; above 10% of the contract the owner must approve
  • Progress billing: % complete to date less the previous billing, less retention and recoupment, plus VAT — each billing follows exactly one previous billing, so nothing is billed twice
  • Collections against approved billings, with the 2307 withholding; retention release capped at what's held

6. Reports

Project status, budget vs actual by BOQ item, cost by type, project cost ledger, billing and collection, receivables, change order log, open purchase orders, manpower and labor cost, equipment utilization, site reports and open punch list.

Role-based access management

  • Owner / Admin: everything, including change orders above the limit
  • Project Manager: BOQ, schedule, approvals of requests, POs and change orders, billings
  • Site Engineer: daily reports, % done, material requests, labor and equipment logs, punch list
  • Purchasing: suppliers, purchase orders and deliveries
  • Accounting: billings, collections and direct costs
15 roles

What it doesn't do

It isn't a full accounting system (pair it with Full Accounting), doesn't track inventory per warehouse (deliveries are costed straight to the project), and has no Gantt dependencies or critical path. Deliveries are received by value, not per line.

Getting started

  1. Replace the company name on the printouts and add your clients, suppliers and subcontractors.
  2. Create a project and enter its BOQ (budget cost and contract price per item).
  3. Add your workers and equipment with their daily rates.
  4. Invite your team — PMs, site engineers, purchasing and accounting — each with a role.
