Alvis Built-in Application for Timekeeping, Leaves and Payroll in the Philippines
About this app
Attendance, Time & Payroll runs your semi-monthly payroll from the time cards to the payslips — with overtime, holiday and night pay at DOLE rates, leave credits, SSS, PhilHealth, Pag-IBIG, withholding tax and the 13th month worked out for you.
Built for Philippine private employers with monthly-paid staff, daily-paid workers and minimum wage earners. It follows the DOLE premium pay rules, the 2025 contribution tables (kept as an editable rate table, because they change), the TRAIN withholding tax table, and the figures you need for BIR Form 2316 and the alphalist.
Dashboard at a glance
- Active employees, net pay released this month and leave requests waiting
- Gross pay per month, payroll cost by department, overtime trend and leaves by type
1. Employees
Monthly or daily rate, paid days a year (261 / 313 / 365), allowances and de minimis benefits, minimum wage earner status, TIN, SSS, PhilHealth and Pag-IBIG numbers, and bank account — with leave balances on each record.
2. Daily time records
One row per employee per day, imported from the biometrics or encoded from time cards: hours, overtime, night hours, lates, undertime, and the kind of day.
- Premium pay at DOLE rates: rest day 130%, special day 130%, regular holiday 200%, overtime 125% and up, night differential +10%
- Absences and lates come off the pay automatically; a day can't be logged twice
3. Leaves with approval
Credits per leave type and year (vacation, sick, service incentive, maternity, paternity, solo parent …). A request is refused when the credits aren't there; pending requests hold their days, and a rejected one gives them back. Leave without pay needs no credits.
4. Payroll runs and payslips
Open a cutoff and click Generate payslips — one per active employee. Review, finalize, approve the period, then release.
- Each payslip: basic pay, absences and lates, overtime/holiday/night pay, allowances, SSS, PhilHealth, Pag-IBIG, withholding tax, loans and other deductions, net pay
- Controls: a period can't be approved with draft payslips; payslips can't be released before approval; one payslip per employee per cutoff
- Printouts: payslip and payroll register
5. Government contributions and tax
SSS (with EC), PhilHealth and Pag-IBIG come from the Contribution Rates table — the 2025 rates are included; when an agency announces new ones, add a table and mark it current. Withholding tax follows the TRAIN table (2023 onwards); minimum wage earners are exempt.
6. 13th month, BIR 2316 and reports
The 13th month accrues from every released payslip and can't be overpaid. Each employee's yearly summary gives the BIR Form 2316 and alphalist figures.
- Reports: payroll register, bank payroll list, SSS (R-3), PhilHealth (RF-1), Pag-IBIG (MCRF), withholding tax (1601-C), alphalist, 13th month, payroll cost by department, attendance summary, leave balances
Role-based access management
- Payroll Admin: runs payroll, employees, rates and time records; manages users
- Approver: approves leaves and payroll periods
- Timekeeper: encodes time records and files leaves — can't see pay
- Employee: sees only their own released payslips, leave balances and requests, and files leaves
What it doesn't do
It doesn't file with SSS, PhilHealth, Pag-IBIG or the BIR, or upload to your bank — the reports give you the figures. It doesn't connect to biometric devices directly (import their export), and final pay computations are done by hand. Check the rate table and the holiday list each year.
Getting started
- Replace the company name on the printouts, and check the holidays and contribution rates.
- Add departments, shifts and employees with their rates and government numbers.
- Give each employee their leave credits for the year.
- Open the first cutoff, generate payslips, and record the time.
