Alvis Built-in Application for Sales, Purchasing and Inventory in the Philippines

About this app

Full ERP runs your sales, purchasing and inventory in one place — from the first quotation to the delivery receipt, the invoice and the collection, and from the purchase order to the goods on your shelf, with stock counted per warehouse.

Built for Philippine trading and distribution companies — hardware and construction supply, food and consumer goods, industrial parts. It follows the documents you already use: quotation, sales order, delivery receipt (DR), sales invoice with 12% VAT, collection receipt, purchase order and receiving report.

Dashboard at a glance

  • Sales this month compared with last month
  • Orders to deliver and purchase orders waiting for approval
  • Inventory value at cost, per warehouse
  • Sales per month, top products and stock movements

1. Order to cash

A quotation the customer accepts becomes a sales order with the same items in one click. Deliver it in one or several trips; bill each delivery; record the collections.

  • Quotations: validity dates, VAT worked out, a printable quotation with a conforme line
  • Sales orders: lines with what's ordered, delivered and still to deliver
  • Delivery receipts: pick from a warehouse; you can't deliver more than ordered, or more than the warehouse has
  • Sales invoices: one per delivery, billing exactly what was delivered plus 12% VAT
  • Collections: partial payments, never more than the balance
  • Sales returns: resellable goods go back to stock; damaged goods are recorded only

2. Procure to pay

  • Purchase orders: Purchasing prepares and submits; an Operations Manager approves or sends back
  • Goods receipts: receive only approved POs, in full or in parts — never more than ordered
  • Receiving report printout for each delivery from a supplier

3. Inventory and warehouses

Stock is never typed in — it is the sum of every movement in the stock ledger, written automatically by receipts, deliveries, returns, adjustments and transfers.

  • Stock levels: each product in each warehouse, with its value and a minimum per warehouse
  • Products: total on hand, reorder level and a "Reorder" / "Out of stock" flag
  • Adjustments: after a count, damage or expiry — a manager approves first
  • Transfers: move stock between warehouses in one step

4. Reports

Stock on hand by warehouse, reorder list, inventory valuation, stock ledger and movement summary, backorders, open purchase orders, sales by customer and by product, receivables, deliveries, purchases by supplier, returns and collections — each exportable to PDF and CSV.

Role-based access management

  • Admin: everything, including setup, prices and users
  • Operations Manager: approves purchase orders and stock adjustments
  • Sales: customers, quotations and sales orders
  • Purchasing: suppliers and purchase orders (can't approve)
  • Warehouse: picks and delivers, receives goods, returns and transfers
  • Finance: invoices deliveries and records collections
14 roles

More built in

  • Printable quotation, sales order, delivery receipt, sales invoice, collection receipt, purchase order and receiving report
  • Approved and posted documents lock; mistakes are voided or cancelled, so the history stays
  • Audit log, CSV export of every list, and 15 built-in test scenarios that re-check the stock and order rules after every change

What it doesn't do

It isn't a general ledger — pair it with Full Accounting for the books and BIR lists. Stock is valued at each product's standard cost (not FIFO or moving average). There are no customer credit limits, serial or lot numbers yet.

Getting started

  1. Rename the starter warehouse and add any others.
  2. Add your products with cost, selling price and reorder level.
  3. Enter opening stock as approved "Add to stock" adjustments.
  4. Add customers and suppliers, invite your team and give each person a role.
