Alvis Built-in Application for Accounting and BIR Compliance in the Philippines

About this app

Full Accounting keeps complete double-entry books for your business — every invoice, collection, bill, payment and expense posts itself to the General Ledger, so your trial balance, financial statements and BIR lists are always up to date.

Built for VAT-registered companies in the Philippines, following BIR conventions: sales invoices as the primary document (EOPT Act), 12% VAT, withholding tax by ATC, BIR Form 2307 and the books of accounts. Staff answer plain questions — paid from, how much, what for — and the debits, credits and VAT are made for them.

Dashboard at a glance

  • Cash & bank, receivables and payables as of today
  • Sales this month compared with last month
  • Sales and expenses per month, cash over time and your top expenses

1. Sales: invoices and collections

Issue BIR sales invoices with VATable, zero-rated and VAT-exempt sales and 12% VAT worked out for you. Record collections against them, including the tax your customer withheld.

  • Sales invoices: serial numbers that are never reused; a mistake is cancelled (and reversed in the books), never deleted
  • Collections: partial payments, the customer's 2307 withholding, and a "2307 received" checklist
  • Can't overcollect: a collection larger than the balance due is refused

2. Purchases: supplier bills and payments

Enter supplier invoices with input VAT and the expanded withholding tax you deduct, by ATC (rent 5%, professional fees 10%, goods 1% …). Foreign software subscriptions get the reverse-charge VAT handled automatically.

  • Supplier bills: net payable after EWT, the same supplier invoice can't be entered twice
  • Payments (check vouchers): partial or full, never more than the balance
  • BIR 2307 details printout for each bill with tax withheld

3. Everyday expenses and transfers

Log money spent in one step: paid from, how much, what for. Pick the receipt type and the 12% input VAT is claimed for you. Move money between your bank, cash and GCash accounts with any fee recorded.

4. Books, ledger and chart of accounts

  • Journal entries: opening balances, payroll, depreciation and accruals; they post only when debits equal credits
  • General Ledger: one line per debit and credit, with the document it came from
  • Chart of accounts: a ready Philippine chart of 49 accounts to rename and extend; "Used for" marks where the app posts

5. Reports and BIR lists

Each report has a period picker and PDF/CSV export.

  • Financial statements: Trial Balance, Income Statement, Balance Sheet, General Ledger
  • BIR: VAT Summary (2550Q), Summary Lists of Sales and Purchases (SLS/SLP), Expanded Withholding Tax (1601-EQ / QAP), Tax Withheld by Customers (2307s)
  • Management: open receivables and payables, sales by customer, purchases by supplier, spending by category, cash journals

Role-based access management

  • Accountant: keeps the books, maintains the chart of accounts and the app's users
  • Manager: approves — issues invoices, records bills, posts entries, voids mistakes
  • Bookkeeper: prepares drafts and logs expenses, collections and payments; can't post, cancel or void
  • Viewer: reads the books and runs reports (an owner or an external auditor)
12 roles

More built in

  • Printable sales invoice, collection receipt, check voucher, expense voucher, journal voucher and BIR 2307 details
  • Posted documents lock; corrections are reversals, so the audit trail stays complete
  • 14 built-in test scenarios that re-check the posting rules after every change

What it doesn't do

It doesn't file with the BIR for you (copy the figures into eBIRForms or eFPS), it has no bank feeds, and payroll is entered as a journal entry. The ATC list covers the common rates.

Getting started

  1. Replace the company name and TIN placeholder on the printouts (Settings → Printouts).
  2. Review the chart of accounts and enter your opening balances as a journal entry.
  3. Add your customers and suppliers with their TINs.
  4. Invite your team and give each person a role.
