Alvis Built-in Application for Primary Schools in the Philippines

About this app

Alvis for Primary School runs a whole Kinder to Grade 6 school in one place, from the first online application to the last DepEd form of the school year. Registrars, teachers, cashiers and principals each get the screens they need, and all of them share the same records, so the same data never has to be typed into separate spreadsheets.

It is built for Philippine public and private primary schools. Learning areas, grading, school forms and nutrition tracking follow DepEd conventions out of the box.

Dashboard at a glance

School heads open the app to a live summary of the selected school year:

  • Enrolled learners, pending enrollments, new admissions and grades awaiting finalization
  • Enrollment and admission trends across school years
  • Learners by grade level, learner type (New, Old, Transferee, Balik-Aral) and sex
  • Learners at risk (any quarter below 75), promotion status and grade remarks
  • Baseline nutritional status

Each role sees only the dashboard tiles and charts it is allowed to see.

1. Online admission and enrollment, shared by QR code

Parents apply from their phones, with no account or login. The school prints or posts a QR code that opens the admission form. The form collects everything the registrar needs:

  • Applicant type
  • LRN
  • Learner profile, including mother tongue, IP community and 4Ps beneficiary status
  • Parent or guardian contacts
  • Last school attended
  • A checklist of submitted requirements: PSA Birth Certificate, SF9, SF10, Good Moral Certificate and 2x2 photo

Each submission arrives in the Admissions queue with a reference number. The registrar reviews it and, with one click, turns it into a learner record and an enrollment. Enrollments track section placement, learner movement (transferred out, dropped out) and readiness to confirm.

2. Registrar maintenance

Everything the school year depends on is set up in one place:

  • School years: start and end dates, current quarter, and switches to open or close enrollment and grading
  • Grade levels: tuition, miscellaneous and other fees per grade level
  • Learning areas: pre-loaded with DepEd subjects, from Language and Reading and Literacy to Makabansa, MAPEH, EPP and GMRC, in report card order
  • Basic academic program: learning areas and minutes per week for each grade level
  • Teachers, rooms and sections: sections have an adviser, a room and a maximum number of learners
  • Classes: each class links a section, learning area, teacher and room for a school year

3. DepEd compliance reports

School forms are generated from the data the school already enters, with no re-encoding. Every report can be exported to CSV or PDF:

  • SF1 School Register
  • SF3 Books Issued and Returned
  • SF4 Learner Movement and Attendance
  • SF5 Promotion and Learning Progress, plus the per-section summary
  • SF6 Summary of Promotion and Level of Proficiency
  • SF7 School Personnel Assignment
  • SF8 Health and Nutrition, plus the Nutritional Status Summary
  • Class Record Summary
  • Collections and Balances

Report Cards (SF9) and Certificates of Enrollment print directly from each enrollment. Printouts use the school's letterhead and signatories.

Also built in:

  • Honors list (DO 36, s. 2016): With Honors, With High Honors and With Highest Honors from the general average, also printed on the SF9
  • Remedial classes: a failed learning area's remedial mark is approved as a grade change, the final grade is recomputed, and the learner is promoted or retained
  • School ID on every form: SF2, SF9 and SF10 carry the school's ID, division and region

4. Attendance, books, and health and nutrition

  • Attendance: advisers keep monthly attendance sheets per section, with school days and daily records. These feed SF4 attendance rates, absences and tardiness.
  • Books: the school keeps a textbook inventory and tracks each learner's issued and returned books. This feeds SF3.
  • Health and nutrition: baseline and endline weight and height are recorded for each learner. The app computes BMI, BMI-for-age and height-for-age automatically for SF8 and the dashboard.

5. Accounting and cashiering

Each enrollment carries its own assessment: tuition, miscellaneous and other fees, less any discounts. The cashier records payments with official receipt numbers and payment methods, and the balance updates right away.

Payments can be voided with a full audit trail rather than deleted. A down payment can be required before an enrollment is confirmed. The Collections and Balances report shows what each family has paid and still owes.

6. Role-based access management

The app comes with roles that match how a school actually works:

  • Super Admin
  • Principal: finalizes grades and approves grade changes
  • Registrar: admissions, learner records and enrollment
  • Teacher: grades for their own classes, plus attendance, observed values and health records for the sections they advise
  • Accounting: fees, discounts and payments
  • Parent: sees only their own child's records
  • Applicant: the public admission kiosk

Read, create, update and delete permissions are set per role and per record type. Each permission can be scoped to all records, the user's own records, or the user's group, and individual fields can be hidden from a role. Staff are invited by email and assigned a role.

7. More built in

  • DepEd grading: teachers enter quarterly grades and observed values (core values) and submit them. The principal finalizes them, and the app computes general averages, remarks, honors and promotion status automatically, including after remedial classes. Grade change requests go through an approval step.
  • Audit trail: every change records who made it, what changed and when.
  • Parent portal: parents can view their child's records.
  • Downloadable forms: the school can share blank forms with families.
  • Bulk editing: lists support grid editing, filters, PDF export and pagination.
  • Branding: the school's logo, colors, peso currency and letterhead on every printout.
  • Deployment: the app can run in the cloud, self-hosted on the school's own server, or as an Android or iOS app.
